Working with Edi Invoices
Electronic Data Interchange (EDI) is a standard format for electronic business documents, such as invoices, that allows for easy exchange of information between businesses. In this lesson, we will learn how to set up and use EDI invoicing in Radio Workflow.
Determine which service you will be using for EDI invoicing. You have the option of using Radio Invoices or Spot Data.
Set up your service in Radio Workflow.
If you are using Radio Invoices, go to the settings panel and click on global settings. Then, look for the Radio Invoices option and enter your username and password. If you are using business profiles, you will need to enter your Radio Invoices account information for each profile. To do this, go to the profiles section and either edit an existing profile or add a new one. Look for the Radio Invoices username and password fields and enter your information.
Find the EDI numbers for your agency accounts.
These numbers can be found on the Radio Invoices or Spot Data websites. Make sure to enter the EDI numbers into the agency account, not the advertiser account. To do this, look for the agency account in Radio Workflow and click on "edit" or "add" to enter the EDI number. In the billing section, select the "radioinvoices.com/spot data" billing tag and enter the EDI number from the website.
Use your EDI invoicing.
When you are ready to submit your invoices, go to the invoice detail section and select the "include only EDI related" option. Then, click the "send EDI" button. The process for submitting your invoices will depend on the service you are using. If you are using Radio Invoices, the invoices will be submitted to their portal and you can check the status there. If you are using Spot Data, you will receive an EDI file download that you can upload into their portal.
